The primary responsibility of this position is to assist the Arts in Education Program Director in conducting administrative duties related to the Arts in Education programs which promote, strengthen, and enhance the arts and arts education in Maryland’s elementary and secondary schools and other community settings. Duties consist of: serving as contact with the public, principals, teachers, artists, partners, arts organizations; maintaining program information and guidelines; composing documentation to include award letters, invoices and grant agreements; preparing monthly reports and charts on program activity; processing and reconciling grant payments, attending school site visits and artist auditions; tracking and reviewing registration and application materials.. Providing administrative support such as information retrieval, providing program information; receiving telephone calls and visitors; arranging appointments, using database or spreadsheet software applications for preparation of correspondence, forms, and data input.
The selected employee will be well-organized, self-motivated and able to work independently and will possess excellent interpersonal, written and oral communications skills, including excellent secretarial skills and telephone etiquette, as well as possess an aptitude for detailed work and maintain a good work and attendance record.
Minimum Qualifications: Candidates must possess a high school diploma or high school equivalence certificate and five years of experience in secretarial or clerical work involving the use of a personal computer. Additional secretarial or clerical experience may be substituted on a year for year basis for the required education. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience. Preferred Qualifications: The ideal candidate will possess a Bachelor’s degree and arts administration experience, experience in Arts in Education a plus.
Selective Qualifications: Applicants must be proficient in the use of Microsoft Word, Google Mail, Excel and Access or relevant software. One (1) year of experience with database software applications to prepare reports/charts is required. PLEASE NOTE: This experience is required. Please describe in detail any job duties relating to the qualifications stated and include any computer software used (ex. Word, Excel, Access, etc.) and database experience in each of the positions you held.
