Job Description:

As a Program Coordinator, you will play a pivotal role in facilitating seamless communication and coordination between schools, artists, and our organization to ensure the successful execution of educational programs. Your responsibilities will encompass various stages—from initial inquiry to program evaluation—requiring meticulous attention to detail and effective communication skills.

Responsibilities Include:

  • Serve as the primary point of contact for school inquiries regarding our educational programs.
  • Maintain clear and consistent communication with school contacts from initial inquiry through finalizing program details.
  • Record all communications accurately and comprehensively in Salesforce or other designated platforms.
  • Collect data required for reporting purposes.
  • Assist the contact center manager in Budget development.
  • Assist the contact center manager in developing quarterly OKRs.
  • Manage communication with artists from initial inquiry through finalizing program details.
  • Ensure all interactions with artists are documented thoroughly in Salesforce for transparency and record-keeping purposes.
  • Regularly attend artist programs so as to be able to describe and recommend programs.
  • Develop and provide quotes for program inquiries, ensuring accuracy and alignment with organizational pricing structures.
  • Facilitate orientation meetings for schools and artists to ensure an understanding of program logistics, expectations, and requirements.
  • Coordinate scheduling and logistics for these meetings, which may occasionally require travel to venue sites.
  • Organize and facilitate evaluation meetings to gather feedback from schools, artists, and stakeholders.
  • Travel to venue sites as needed to conduct these meetings and ensure comprehensive feedback collection.

Qualifications:

While no one candidate will possess every quality outlined for this position, the successful candidate will fit many of the following professional qualifications and personal attributes:

  • Proven experience in customer service, project coordination, or program management.
  • Exceptional verbal and written communication skills with a keen attention to detail.
  • Proficiency in Salesforce or similar CRM platforms for recording and tracking communications.
  • Strong organizational abilities and the capability to manage multiple tasks and deadlines effectively.
  • Ability to work independently and collaboratively within a team-oriented environment.
  • Flexibility and willingness to travel to various venue sites as required.
  • An understanding of the concepts of institutional and structural racism and bias, and its impact on policies and practices, especially related to the administration of public education.

Preferred Qualifications:

Bachelor’s degree in Education, Arts Administration, Communications, or related field preferred.

Compensation:

We offer a starting annual salary of $54,500 and an attractive benefits package that includes medical, dental, and vision healthcare coverage, retirement contributions, and a flexible paid time off policy.
