The Baltimore Symphony Orchestra (BSO) is seeking an energetic, detail-oriented Campaign and Research Associate to support the BSO’s Resounding Campaign—a comprehensive, multi-year $65,000,000 Campaign. The successful candidate will play an integral role in supporting and expanding the daily fundraising operations of this multi-year campaign through prospect research and management and stewardship; strengthening the internal systems and processes of the BSO’s Development department.
Under the supervision of the Campaign Director, this role will be responsible for initiating and tracking all aspects of the Campaign fundraising cycle, as well as implementing systems to maximize the giving potential of donors.
Summary of Essential Functions:
- Assisting the Director in the preparation of Campaign correspondence including but not limited to; acknowledgement letters, pledge letters, proposals, presentations, and gift agreements.
- Maintaining an active Campaign calendar and tracking a moves management pipeline.
- Organizing Campaign meetings and collateral for solicitations and meetings.
- Using existing in-house research tools to produce confidential prospect profiles as requested by senior Development staff and Campaign leadership.
- Analyzing the BSO’s database to identify new prospect leads to be assigned.
- Verifying and analyzing the results of wealth screenings to advise Campaign leadership and Development Officers on gift capacity.
- Managing prospect movement and information in Tessitura, the BSO’s database including but not limited to; Campaign contact reports, gift agreements, proposals, event invitations, multi-year pledge booking and invoicing.
- Respecting our patron’s privacy by upholding and updating standards for the responsible use of confidential data.
Essential Duties and Responsibilities:
Campaign Support (35%)
- Assisting the Campaign Director in the preparation of Campaign acknowledgement letters, pledge letters, proposals, presentations and gift agreements.
- Scheduling Campaign meetings and solicitations.
- Coordinating Campaign pledge reminders/invoicing and entering of new pledges into Tessitura with the Annual Fund office.
- Editing Campaign proposals and presentations as needed.
- Uploading Campaign proposals, grants and gift agreements into Tessitura.
Prospect/Moves Management (25%)
- Coordinating and tracking Campaign volunteer assignments.
- Updating the Campaign biweekly internal briefing document.
- Sending biweekly action memos to Campaign leadership and Development staff.
- Adding and updating Campaign plans and solicitor/worker assignments for all prospects in Tessitura.
Prospect Research (25%)
- Producing confidential research profiles and briefing documents for BSO and Campaign Leadership and the Music Director as requested.
- Proactively identifying Major Gift prospects for the Campaign.
Stewardship/Donor Relations (15%)
- Creating and updating the Stewardship calendar to add annual reporting deadlines for Campaign and endowed donors and uploading deadlines and Stewardship reports into Tessitura.
- Carefully reviewing Campaign gift agreements and alerting the Finance Department to any restrictions on use of funds.
- Working with the Membership/Annual Fund office to review and update Campaign donor crediting in Overture and in all BSO publications, signage and website.
- Assisting the Campaign Director and Manager of Donor Engagement and Special Events with planning and organizing Campaign cultivation and stewardship events.
- Working with the Campaign Director on story ideas, collecting content, coordinating design and creating the mailing list for the BSO’s biannual Campaign Newsletter.

- Proficiency with Microsoft Office Suite applications: Word, Excel, Access, PowerPoint, and Outlook.
- Proficiency with development databases such as Tessitura, Raiser’s Edge and BSR/Advance
- Familiarity with Adobe InDesign.
- Knowledge of ethics statements by the Association of Professional Researchers for Advancement (APRA), the Council for Advancement and Support of Education (CASE), the Association of Fundraising Professionals (AFP), the Association of Donor Relations Professionals (ADRP) and other related professional associations.
Minimum Qualifications:
- Bachelor’s degree and 2-3 years experience in prospect research/management, stewardship/donor relations, institutional giving/corporate and foundation relations and/or major gifts/capital campaigns.
- Must display a high level of maturity, professionalism, and personal integrity and the ability to work well with constituents from various backgrounds including but not limited to; board members, Campaign leadership, donors, colleagues, and senior management at the BSO.
Preferred Qualifications:
- Previous experience in the arts and cultural field; experience with performing arts organization is preferred
- Appreciation and/or interest in classical music
- Familiarity with major arts and cultural organizations and funders in the
Greater Baltimore/Washington DC Metro area
