Young Audiences/Arts for Learning, founded in Baltimore in 1950, is the country’s foremost arts-in-education non-profit organization. The Maryland chapter of Young Audiences (YA) provides more than 9,000 arts education opportunities to nearly 200,000 students, artists, and educators throughout the state each year. The staff, board, and teaching artists of YA work tirelessly to generate opportunities for all students to imagine, create, and realize their full potential through the arts.
Job Description
The Program and Education Assistant position is a full time position (40 hours per week), providing support to the Program and Education Innovation Departments. This hybrid position serves as a primary liaison between the two departments, and will spend roughly 50% of their time supporting each department. This position will occasionally require the assistant to work early morning and evening/weekend events. This is an entry level position with a starting salary in the high $20,000's and includes an extensive benefits package. This position reports to the Chief Operations Officer.
Requirements
The ideal candidate should be detail-oriented, if not meticulous, and should be a self-starter and have excellent communication and customer service skills. This individual must be able to effectively manage a portfolio of recurring daily tasks, annual projects, and last minute assignments. A high school diploma (or equivalency) is required and a Bachelor’s Degree (or relevant work experience) is preferred. Experience with data entry and Microsoft Excel is required. Knowledge of Salesforce is a plus.
General Responsibilities Include:
- Enter all data for artist programs for the education and program departments into scheduling software (Salesforce), and create and distribute program contracts/invoices to stakeholders in a timely manner.
- Track all paperwork related to state, county, and city funded residencies, and ensure their timely and accurate submission.
- Maintain department supplies.
- Schedule internal and external meetings and provide logistical support.
- Assist in answering and routing phone calls.
- Facilitate communication between the Program and Education Innovation Departments.
- Perform other duties as assigned.
- Work with the YA staff as needed on special projects.
Education Responsibilities Include:
- Assemble professional development packets and other materials (nametags, binders etc.).
- Assisting with coordination and implementation of educational programs such as: The Teaching Artist Institute (TAI).
- Manage Chief Innovation Officer’s calendar.
- Assist Chief Operating Officer in maintaining communication with partners.
Program Responsibilities Include:
- Serve as the liaison between YA and the Maryland State Arts Council Program Department for assembly programs.
- Assemble orientation packets and outreach materials for coordinators as needed.
- Take and disseminate notes highlighting action items during weekly program meetings.
- Complete Venue Agreement Forms required by Baltimore County and Anne Arundel County Public Schools.
- Manage calendars for YA Touring Artists and Artist Associates.
